Terms of Service

These Terms govern use of EnVenn, including organisation workspaces and public booking pages.

These Terms of Service ("Terms") are between you and EnVenn. By creating an EnVenn account after these Terms are presented, or by otherwise using a part of the service to which these Terms apply, you agree to them. If you use EnVenn for an organisation, you confirm that you are authorised to act for that organisation.

1. What EnVenn does

EnVenn is scheduling software for organisations that coordinate shared rooms or other booking resources. Depending on configuration, it can provide organisation workspaces, public booking pages, availability and conflict checks, room pairing between organisations, Microsoft calendar integration, booking notifications, imports and subscription management.

EnVenn provides the scheduling technology. It does not operate the venue being booked and is not a party to the underlying appointment, room hire or other service between a booking visitor and the relevant organisation.

2. Accounts and organisation access

  • You must provide accurate account information and keep your sign-in credentials and MFA factors secure.
  • Organisation owners and administrators control membership and settings within the permissions EnVenn provides. Users must only access organisations and data they are authorised to use.
  • You are responsible for actions taken through your account unless they result from a security failure for which the operator is responsible under applicable law.

3. Your booking and customer data

You retain whatever rights you have in information you enter into EnVenn. You give the operator permission to host, copy, transform and transmit that information only as reasonably required to operate, secure and support EnVenn and the integrations you enable.

Organisations are responsible for having an appropriate basis and authority to enter customer, attendee and staff details into EnVenn, to send booking communications, and to connect calendars containing personal or confidential information.

On public booking pages, the booking visitor supplies details for the selected organisation to manage the booking. A linked partner organisation receives the shared-room availability context required by EnVenn's current sharing model; EnVenn's user interface does not expose the other organisation's detailed booking contact fields, notes or attendee list merely because a room is paired.

4. Microsoft calendar integration

If an authorised user connects Microsoft, EnVenn uses the Microsoft permissions granted through OAuth to read and write supported calendar data. The normal connection requests identity, profile, email, offline access, user and calendar permissions; room discovery can additionally request Microsoft Places permission when that feature is used.

Calendar synchronisation depends on Microsoft services, permissions, calendar types and webhook/API availability. You are responsible for choosing calendars you are authorised to connect. Disconnecting a Microsoft connection stops EnVenn from using that connection going forward, but does not necessarily delete calendar events that were previously created in Microsoft.

5. Notifications

Organisations can configure booking communications. Current email delivery is performed through Resend when enabled. The current SMS implementation records notification requests for testing and quota workflows but uses a non-delivering console adapter; it does not send the message to a production SMS provider. EnVenn must update its service and privacy disclosures before a real SMS provider is enabled.

Delivery is not guaranteed because messages can be blocked, delayed or rejected by third-party services or recipient systems. Users should not rely on a notification as the sole record of a booking.

6. Subscriptions and Paddle

EnVenn's checkout uses Paddle. Paddle acts as merchant of record for purchases made through its checkout and handles payment methods, invoices and applicable transaction taxes. The price, currency, billing interval and any trial offered are taken from the Paddle price configured for EnVenn and are shown in the product or checkout rather than fixed by these Terms.

Subscription access follows the billing status EnVenn receives from Paddle. Subscription management is available through Paddle's billing flow where enabled. Paddle's own buyer terms apply to the purchase transaction in addition to these Terms.

Nothing in these Terms excludes, restricts or modifies a guarantee, right or remedy that cannot lawfully be excluded, including rights under the Australian Consumer Law where it applies.

7. Sponsored partner organisations

The current paid organisation model can include one limited sponsored partner organisation. Sponsored access has a narrower feature set, including restrictions on public booking, SMS, event types, user invitations and sponsoring another organisation. The subscribed organisation can end the sponsorship, and the partner can obtain its own subscription if that option is offered. Product screens describe the capabilities available to each organisation at the time.

8. Acceptable use

You must not use EnVenn to:

  • break the law or infringe another person's rights;
  • access an organisation, calendar or booking without authority;
  • upload malicious code, probe security controls, bypass access or rate limits, or interfere with the service;
  • send unlawful, deceptive or unsolicited communications through EnVenn; or
  • provide data that you are not permitted to collect, disclose or process for the intended booking purpose.

9. Service limitations, booking accuracy and continuity

EnVenn is designed to reduce scheduling conflicts and coordinate booking information, but no scheduling or synchronisation system can guarantee that every booking, availability result, calendar change, cancellation, import or notification will always be processed correctly or immediately. EnVenn can be affected by software defects, delayed or failed background jobs, stale provider data, network failures, provider outages, permission changes, webhook delays, API changes and incorrect user or organisation configuration.

These conditions can result in a booking or change being delayed, not reaching a connected calendar, being displayed using stale availability, or requiring manual reconciliation. They can also contribute to a missed booking, conflicting or duplicate booking, unsuccessful cancellation, or a notification not being delivered. EnVenn uses availability checks, conflict controls and durable delivery workflows to reduce these risks, but does not promise that those controls will prevent every error. A public booking request shown as pending is not confirmed unless and until EnVenn later records or communicates confirmation.

Organisations should review EnVenn status messages and any connected calendar status for bookings where timing or attendance is important, and should keep any independent business or legal records they require. A notification email is not a substitute for checking the booking status. EnVenn is not intended for emergency, life-safety or other use where a scheduling failure could reasonably be expected to cause death or personal injury.

EnVenn depends on services including Supabase, Microsoft, Paddle, Netlify, Resend, Cloudflare Turnstile and Sentry. The operator will use reasonable care in providing EnVenn but cannot promise uninterrupted availability or that a third-party calendar or service will always be reachable or current. Planned or emergency maintenance, provider incidents, network failures and changes to third-party APIs can affect the service. Nothing in this section removes a right or remedy that cannot lawfully be excluded.

10. Data retention, revisions and recovery

EnVenn is not an indefinite archive. The current retention process generally removes a live booking one calendar month after its end time. Detailed content from superseded booking revisions is generally kept only for the short troubleshooting window described in the Privacy Statement, currently 7 days, while minimised revision metadata can be retained for longer. Cancellation-pending bookings can be held while a provider-side deletion still requires resolution.

The revision/history and support reconstruction features are troubleshooting and audit aids. They are not a guaranteed backup, archive, disaster-recovery service or promise that an earlier booking state can always be reconstructed. Once information has been deleted, redacted or purged under the retention process, EnVenn does not promise that it can be recovered. Unless expressly agreed otherwise, organisations remain responsible for keeping outside EnVenn any records they are legally or operationally required to retain.

11. Intellectual property

The EnVenn software, branding and site content remain owned by the operator or relevant licensors. While your account is permitted to use the service, you receive a limited, non-transferable right to use EnVenn for its intended business and booking purposes. This does not transfer ownership of EnVenn software or branding to you.

12. Privacy and security

The Privacy Statement explains the personal information EnVenn currently handles and the service providers used. Security controls reduce risk but no online service can promise absolute security.

13. Suspension, cancellation and termination

Access can be restricted when a subscription no longer provides access, when needed to protect EnVenn or other users from a credible security or abuse risk, or for a material breach of these Terms. Any action under this section remains subject to rights and remedies that cannot lawfully be excluded.

Ending an account, organisation relationship, sponsorship or integration does not necessarily remove every operational, audit, billing or provider record immediately. Retention is described in the Privacy Statement and some third-party records remain subject to the relevant provider's own retention obligations.

14. Liability and mandatory rights

Nothing in these Terms excludes, restricts or modifies a guarantee, right, remedy or liability that cannot lawfully be excluded, restricted or modified, including applicable rights under the Australian Consumer Law.

To the maximum extent permitted by law, the operator is not responsible for loss to the extent it is caused by inaccurate information or configuration supplied by a user or organisation, unauthorised use of an account, failure to follow a material status or error message, use of an unsupported integration, or a third-party service failure outside the operator's reasonable control.

To the maximum extent permitted by law, the operator does not accept liability for indirect or consequential loss arising from interruption of the service, loss or corruption of data, delayed or failed synchronisation, stale availability, a missed, conflicting or duplicate booking, an unsuccessful cancellation, or a delayed or failed notification. This exclusion does not apply to the extent the loss cannot lawfully be excluded, including where a mandatory consumer guarantee or other non-excludable right provides a remedy.

Where the Australian Consumer Law permits liability for failure to comply with a consumer guarantee relating to services to be limited under section 64A, and it is fair and reasonable to do so, that liability is limited, at the operator's option, to supplying the affected services again or paying the reasonable cost of having the affected services supplied again.

Each party must take reasonable steps to reduce loss it could avoid after becoming aware of a service, booking, integration or data issue.

15. Changes to these Terms

The Terms may be updated as EnVenn, its providers or legal obligations change. The current version will show its last-updated date. If the law requires separate notice or consent for a particular change, the operator must provide it before relying on that change.
